Setting Up Voice Call Capture

The administrator onboards employees to Voice Call Capture with their native mobile number and an enterprise number. If you are an administrator, contact your Smarsh representative to onboard your employees.

After an employee is onboarded to Voice Call Capture, the employee receives an email with their account information. The email contains the link to download Voice Call Capture.

To set up Voice Call Capture on your device:

  1. Install and set up the app
    1. Download the Mobile Capture application from the link in the Welcome email. The application is available in Apple Store and Google Play Store.

    2. Install and open the application.

    3. Enter your mobile number to verify your number and register your device.

      You are prompted to verify your phone number.

    4. Make sure that you have entered the correct phone number and tap OK.
      An SMS or email with an activation PIN is sent to your phone number or organization email.

    5. Enter the activation PIN received.

  2. Restore from back up
    1. If this is your first Voice Call Capture installation, tap SKIP.

    2. If you had previously installed Voice Call Capture and backed up your settings to a Google Drive account, you can restore them at this point. To restore from backup:

      1. Allow the application to access photos, media, and files on your device

      2. Select the Google account.

      3. Allow account permissions.

      4. Tap RESTORE.

  3. Set up call forwarding for incoming calls
    1. Allow the application to access the microphone on your device.

    2. The application requests access to the contacts on your device. Tap Allow.

    3. The application prompts that all incoming calls to your phone number are forwarded to the Smarsh Capture Mobile enterprise number allocated to your account. 

    4. Tap Next.
      The application prompts you to set call forwarding.

    5. To set call forwarding, do one of the following:

      Important

      Each carrier has a different process of call forwarding. If you are unable to set up call forwarding using either of the processes described below, search online and follow the call forwarding process supported by your carrier.

      • If your carrier allows *12* dialing:

        1. Tap the number displayed *21*TRANSFER_NUMBER# displayed.

        2. Tap Call *21*TRANSFER_NUMBER#.

          Note

          You can also make a call to *21*TRANSFER_NUMBER# from your phone's native dialer.

          After call forwarding is successfully set, a confirmation message is displayed.

          Tap Dismiss.

      • If your carrier does not allow *12* dialing:

        1. Tap the number displayed *71TRANSFER_NUMBER displayed.

        2. Tap Call *71TRANSFER_NUMBER.

          Note

          You can also make a call to *72TRANSFER_NUMBER from your phone's native dialer.

          After call forwarding is successfully set, a confirmation message is displayed.

        3. Tap Dismiss.

  4. Test call forwarding
    1. Tap Test Call Forwarding to ensure call forwarding is successfully set up.

      iOS

      Android

      You will receive a test call from Smarsh Capture Mobile servers to ensure call forwarding was correctly set up.

      Note

      In a scenario where there is a delay in receiving the test call from the Smarsh Capture Mobile server:

      • Use another device to make a call to your phone number.

      • If the following error message is displayed, contact Smarsh support.

        iOS

        To retry, tap Test Call Forwarding.

      After call forwarding is successful, the success message is displayed.

    2. Tap Done.

  5. Enable required permissions
    1. Allow the Notifications permission to receive notifications from the app.

    2. A pop-up with the heading Incoming Calls and Messages in Sleep Mode Settings is displayed.

    3. Do one of the following:

      1. Tap GO TO SETTINGS and set the background settings of your mobile device to NO RESTRICTIONS.

      2. Tap READ MORE to know more on background settings.

      3. Tap DON'T ASK ME AGAIN if you have already removed background restrictions for the app.

    4. Enable permission to display the notifications over other apps. This is essential to receive incoming calls.

    5. Tap OK.
      The Appear on Top settings in your phone is displayed. Enable the setting for Voice Call Capture.

You have successfully set up Voice Call Capture on you device. You must make calls from this application and send SMS from the native messaging application on your device.

Note

If a message is sent to your enterprise number:

  • On an Android device, the message is ignored.

  • On an iOS device, a notification is displayed. This behavior is observed as notifications from the Apple server cannot be cancelled.
