Migrating Non-Hosted Customers to Smarsh Hosted Account

You can migrate users to the Smarsh-hosted admin account by sending direct invitations. This topic explains how to batch-invite users to Smarsh’s hosted WeCom account.

To migrate non-hosted customers to Smarsh's hosted WeCom account:

  1. Log in to the customer's self-owned WeCom admin account.

  2. Navigate to the Contacts section from the top menu.

  3. Click Batch Import/Export

  4. Select Export Contacts to download the list of members.

  5. Select one or more departments, or choose the entire company and click Confirm

  6. Scan the QR code with the WeCom mobile app to verify the admin's identity. 


    An Excel file containing the list of users and the company name is generated.

  7. Email the exported excel file to the Smarsh support team and request the migration of users to the Smarsh-hosted admin account under the specified company name.

  8. Log in to the WeCom Smarsh-hosted admin account.

  9. On the homepage, click Contacts in the top menu.

  10. Click Batch Import/Export and then select File Import to invite the listed members.

  11. Use either of the following methods to retrieve the user list:

    • Use the excel file provided by the customer.

    • Click Download Template to download the batch import template and manually enter the user details.

  12. Drag the file you want to upload into the designated area, or click Upload File to browse and select a file.

  13. Select the destination department for the imported users and click Confirm

  14. Click Invite for each batch-imported user. 

Notable Changes for Migrating to Smarsh Hosted WeCom Account

When users are migrated to a Smarsh hosted WeCom account as a department, the following changes apply:

  • The displayed company name is change to 宙宏 (TeleMessage) instead of the client’s original company name. 

  • Existing contact lists from the previous account are not be preserved. To reconnect with contacts from the previous account:

    1. Download the business card from their new Smarsh account:

      1. In the WeCom home page, select the menu icon (three horizontal lines) in the top left corner. 

      2. Select the QR code icon to view your business card. 

      3. Tap Save to download your business card to your photo album. 

    2. Send the saved business card to your contacts using the old account and request them to add your new Smarsh account.

You can also export external contacts from your previous WeCom account and upload it to your Smarsh hosted account.
