A policy is used to take action on messages as they enter the archive, based on set criteria. The criteria can be customized based on the type of policies.

With policies, you can automatically categorize messages helps make reviewers more efficient. A categorizing policy helps review content in an archive, and makes it easier to organize and produce your content for an audit or during litigation.

The review process automatically classifies messages as they enter the archive and highlights keyword hits on each message. Content can be flagged for review, tagged based on cases, events or topics, assigned a Smarsh risk score for prioritization, or auto-closed.

Policies can be automatically categorized using:

  • Keyword Policies - Enables you to focus only on flagged messages for further review.
  • Auto-Review Policies - Enables you to disregard messages that do not require review.

Note

Policies and their defined actions will only apply to messages archived after the creation of the policy or after the update is made to an existing policy. Policies will not retroactively scan messages which were archived prior to the creation of a policy or after an update is made to an existing rule.

The following options are available in the Policies page:

List of available policies. If a policy is greyed-out (A), it means that the policy is either not set to Active or the policy is inactive due to the customer reaching the maximum number of policies for their package.

B indicates an active policy.

3Exports the list of available policies either as a Excel or a CSV file.

Note

The Policy History is only available in the old view. To view the history of changes made to the policy, the administrator must be using the old view (Rules page) and edit a policy.

The new policy UI will be updated with an enhanced Policy History view in an upcoming release. The old view will continue to be available until all features achieve parody.
